# Getting Started with Safety Audit in Clever School

> Enable the Safety Audit module, assign a Safety Manager, configure areas and owners, and begin recording your school's health and safety checks.

This guide walks you through setting up the Safety Audit module from the first enable all the way to your team completing their first round of health and safety reviews. The Safety Audit module ships with over 280 pre-loaded checks across 35 categories, so most schools can start recording evidence within minutes of completing setup.

  Initial setup must be carried out by a user with the **Administrator** role.

## Quick Start

Complete these four steps to get the Safety Audit module active and ready for your team.

  <Step title="Enable the Safety Audit module">
    Go to **Administration > Modules** and enable the **Safety Audit** module. Once enabled, it appears in the left-hand navigation menu.

  <Step title="Assign a Safety Manager">
    Still in **Administration**, go to **Users** and assign the **Safety Manager** role to yourself or another suitable member of staff. You can assign the role to more than one person.

    <Tip>
      Until at least one Safety Manager is assigned, Administrators receive a weekly reminder that this step has not been completed. Assigning the role removes that alert.

  <Step title="Open the Safety Audit">
    Reload your page and select **Safety Audit** from the left-hand navigation menu. You will see the full set of pre-loaded Safety Areas and Safety Items.

  <Step title="Explore the default content">
    Browse the **Safety Areas** and **Safety Items**. Try confirming and unconfirming a few checks, and add a note to one of them. This gives you a feel for the daily workflow before you customise the module for your school.

## Further Setup

A **Safety Manager** can configure the module to match your school's premises and activities. Open the management panel by selecting **Manage** from the dropdown menu in the top-right corner of the screen.

### Exploring the pre-loaded checks

The module comes with **280 pre-loaded checks** organised across **35 categories**, covering the most common statutory and best-practice health and safety requirements for UK schools. Review the full list before making any changes so you understand what is already covered.

### Disabling checks that do not apply

Not every check will be relevant to your school. Rather than leaving irrelevant items cluttering the audit:

* Navigate to **Manage > Safety Items** and **disable** any check that does not currently apply to your school.
* **Archive** any check that is unlikely ever to apply (for example, checks specific to a swimming pool if your school does not have one). Archived items are hidden from the main audit but can be restored at any time.

### Adding custom checks

If your school has premises-specific activities or risks not covered by the defaults, you can add your own:

* Go to **Manage > Safety Items** and select **Add Item**.
* Assign the new item to an existing Safety Area, or create a new Safety Area first via **Manage > Safety Areas**.

### Assigning Safety Owners

Safety Owners are the staff members responsible for completing and confirming individual areas and items. They receive weekly email reminders about anything that is unapproved, not OK, or overdue.

1. Go to **Administration > Users** and assign the **Safety Owner** role to each relevant member of staff.
2. Return to **Manage** within the Safety Audit and assign each Safety Area or Safety Item to its owner.

<Note>
  Safety Managers can assign and reassign owners directly from within the module. The Administrator role is only required for the initial role grant in Administration > Users.

### Setting review dates

Each Safety Item defaults to an annual review cycle. You can adjust the schedule per item to match your school's health and safety programme.

* Open any Safety Item and update its **Review Date**. You can set a date up to 18 months ahead.
* When a Safety Owner confirms an item as **OK**, the review date automatically rolls forward one year from the date of confirmation — or from the existing review date if confirmation happens within four weeks of the item being due.
* This rolling logic prevents review dates from shifting earlier year on year while still allowing timely reviews.

<Tip>
  Review dates are colour-coded throughout the audit: **red** for overdue, **amber** for due within the next four weeks, and **green** for items further ahead.

## Day-to-Day Use

With setup complete, your team follows a simple review cycle.

    Log in and navigate to the Safety Audit. Review your assigned items, mark each check as complete, and add notes or supporting evidence. You receive weekly email reminders listing anything that is overdue, not OK, or due within the next four weeks.

    Monitor overall progress from the Safety Audit dashboard. Use the **Print** button at the top of the page to produce a full audit report of all areas and items — suitable for governor review, OFSTED preparation, or external health and safety audits.

The name of the Safety Owner for each area and item is displayed as a mailto link next to it, so anyone with a query can contact the right person without leaving the module.

<Tip>
  For Multi-Academy Trusts and Local Authorities, certain Safety Areas can be managed centrally to ensure consistency across schools. Locally assigned Safety Owners are still reminded about those items and can be involved in the coordinated review.
